Peachtree Rose Translations helps people turn important, often sensitive documents into certified English translations. That means you trust us with real personal information — sometimes your most private records. This policy explains what we collect, why, how we protect the documents you send us, and the choices you have. No dark patterns, no buried clauses.

In plain English: we collect what we need to translate your document and get it back to you, we guard those files carefully, we don't sell your information, and we delete documents on request.

01 Who This Policy Covers

This Privacy Policy applies to peachtreerosetranslations.com and the services we provide through it — including our quote and cost-estimate tools, our order and document-upload process, our contact forms, and any communication you start with us. It describes how we handle personal information for visitors, prospects, and clients.

Peachtree Rose Translations is a service of Peachtree Rose Marketing LLC ("Peachtree Rose Translations," "PRT," "we," "us," or "our"), based in San Antonio, Texas. By using this site or ordering a translation, you agree to the practices described here. If a specific engagement has its own written data terms, those terms govern that relationship. Our Terms & Conditions cover the rules of our services.

02 What We Collect

Information you give us

When you request a quote, place an order, or email us, we collect what you choose to share — typically:

  • Your name and, if relevant, the business or attorney you represent;
  • Email address, phone number, and mailing address (for hard-copy delivery of certified originals);
  • The details of your request — source and target languages, document type, deadline, and any instructions you give us.

The documents you upload for translation

To translate your document we necessarily process its contents. These files often contain sensitive personal data — for example birth certificates, marriage and divorce records, academic transcripts and diplomas, passports and IDs, and legal or immigration paperwork. We treat every uploaded document as confidential and use it only to produce, certify, and deliver your translation. See Section 04 for exactly how we handle these files.

Payment information

Payments are processed by our third-party payment processor. We do not collect or store full card numbers on our own systems; the processor handles that under its own security standards.

Information we collect automatically

Like most websites, we collect limited technical data through cookies and analytics — pages visited, approximate location, device and browser type, and how you arrived. We use Google Analytics 4 for this. See Section 05.

Communications and text messages

If you contact us or opt in to order updates, we keep a record of that correspondence. If you expressly opt in to text (SMS) updates about your order, we use your number only for those updates; you can reply STOP at any time to opt out. We never share mobile opt-in data with third parties for their marketing.

03 How We Use Your Information

  • To prepare a quote and complete the translation you ordered;
  • To certify, format, and deliver your translation — digitally and, when requested, as mailed originals;
  • To communicate with you about your order, answer questions, and provide support;
  • To process payments and keep the records the law requires;
  • To maintain, secure, and improve our website and services;
  • To send updates you asked for, and — only if you opted in — occasional marketing you can unsubscribe from at any time.

04 How We Handle Your Documents

The documents you send us are the most sensitive information we hold, and we treat them that way:

  • Encrypted in transit. Uploads and downloads happen over encrypted (HTTPS/TLS) connections.
  • Access on a need-to-know basis. Only the translator and staff working on your order can access your files.
  • Used only for your translation. We do not use the contents of your documents for any purpose other than producing and delivering your translation. We never sell them and never use them to train third-party AI models.
  • Retained only as long as needed. We keep source documents and completed translations for a limited period after delivery so we can re-issue or support your order (typically up to 12 months), then securely delete them — unless the law requires us to keep a record longer, or you ask us to delete sooner.
  • Deleted on request. You can ask us to delete your uploaded documents at any time after delivery; see Section 08.

05 Cookies & Analytics

We use cookies and similar technologies to keep the site working, remember basic preferences, and understand how the site is used (via Google Analytics 4). Analytics data is aggregated and is not used to identify you personally. You can block or delete cookies in your browser settings; some parts of the site may work less smoothly if you do. We do not use cookies to sell your data or build cross-site advertising profiles.

06 How We Share Information

We do not sell your personal information. We share it only in these limited situations:

  • Service providers who help us operate — for example our hosting, email, analytics, and payment providers — under confidentiality obligations and only to the extent needed to do their job;
  • Legal and safety reasons — if we are required to by law, subpoena, or valid legal process, or to protect our rights, users, or the public;
  • Business transfers — if the business is merged or acquired, information may transfer as part of that transaction, subject to this policy.

07 Data Retention

We keep personal information only for as long as we need it for the purposes described here — to deliver and support your order, meet legal and accounting obligations, and resolve disputes. Uploaded documents and finished translations follow the retention practice in Section 04. When information is no longer needed, we securely delete or anonymize it.

08 Your Choices & Rights

You can, at any time:

  • Ask what personal information we hold about you and request a copy;
  • Ask us to correct or update your information;
  • Ask us to delete your uploaded documents and personal information (subject to records we must legally keep);
  • Opt out of marketing emails (use the unsubscribe link) or text updates (reply STOP).

To make a request, email admin@peachtreerosetranslations.com. We'll verify your identity before acting on requests about specific documents, for your protection.

09 Data Security

We use reasonable administrative, technical, and physical safeguards — including encryption in transit and access controls — to protect your information. No method of transmission or storage is 100% secure, so we can't guarantee absolute security, but we work hard to protect what you entrust to us and to limit who can see it.

10 Children's Privacy

Our services are intended for adults. We do not knowingly collect personal information from children under 13. A parent or legal guardian may, of course, order a translation of a child's document (such as a birth certificate) on the child's behalf.

11 Third-Party Links

Our site may link to other websites (for example, government or agency pages). We are not responsible for the privacy practices of those sites; review their policies separately.

12 Changes to This Policy

We may update this policy from time to time. When we do, we'll change the "Last updated" date at the top of the page, and material changes will be posted here. Continuing to use the site after an update means you accept the revised policy.
