What are Certified Translation Services?

Many translation companies and agencies advertise that they “certify” their translation services, but what does that mean? Our customers ask what a certified translation is, and whether they need one. Most of the time, the answer depends on the situation. Certification simply means a formal attestation that a document is translated correctly. For the purposes of U.S. Customs and Immigration Services (USCIS) translations, a translator must certify a translated document. For example, a translator translates birth certificate or other legal document. For a certified translation, this the translator then needs to sign an attestation confirming the accuracy and completeness of the translated document. According to the American Translators Association, a certification statement for a document should include the following information:

• A statement of the translator’s qualifications
• Affirmation of the accuracy and completeness of the document
• Identification of the language and the translated document itself
• The translator’s name, signature, and the date the translator signed the certification

Notarized Translation (Third-Party Notary)

Our certified translation services go one step further to ensure accuracy, completeness, and acceptance. We accompany all of our Certificate’s of Authentic Translation with a third-party notary. This includes the notary public’s information, such as the date their commission expires, the date document is notarized, the county and state in which the document is notarized, and the official stamp/seal of the notary public.  

What is the difference between a certified translation and a notarized translation?

A certified translation is a translator’s attestation to the accuracy and completion of a translation. A notary services as a fraud-deterrent factor. The notary assures that signers of a document are who they say they are. This process verifies identification and authentication. It is not always necessary to have a certified translation also notarized. The process of notarizing a certified translation does however create a more authentic product. Having a certified translation that is also notarized is more widely-accepted at various institutions. U.S. Customs and Immigration Services (USCIS) translations do need to be certified, but do not have to be notarized. Many academic institutions of higher education in the United States require foreign transcripts to be translated into English, certified, and also notarized for processing.

The United States Department of State Website and electronic Code of Federal Regulations lists the current criteria for translation of foreign documents, generally associated with USCIS translations.
